Position Goal: Provides administrative support to the Administration Department. Performs a broad range of responsibilities involving highly confidential or technical information, exercising considerable judgment and discretion in completing assignments. Functions as liaison between all staff and Administration, specifically the CEO.

Position Responsibilities;

  • Take minutes and record attendance at Board meeting, Partnership meeting, and other meetings as required.
  • Prepare various legal and other documents and handles confidential matters in accordance with Clinic rules and procedures.
  • Handle variety of matters involving contact with various staff, board members, medial committees, government agencies, and the public.
  • Receive and assist visitors and telephone callers including patient complaints, referring them to appropriate individuals.
  • Maintain administrator’s travel arrangements and appointment calendar, arrange appointments, meetings, and conferences, contact the appropriate individuals to attend.
  • Maintain files related to legal matters and prepares summary for management and board.
  • Anticipate administrator’s needs by gathering records, reports, correspondence or other specific information.
  • Distribute all correspondence from the CEO.
  • Transcribe and distribute all administrative-directed dictation from CEO to physicians while maintaining master folders for meeting minutes and maintaining corporate filing.
  • Schedule administrative meetings internally and externally: (a) communicate meeting times to appropriate individuals, (b) coordinate information for meetings, and (c) distribute information for meetings, arrange for food, audio-visual equipment, etc., if required.
  • Open, sort, distribute, and answer incoming mail for CEO.
  • Perform special projects as requested.
  • Index and file legal and other correspondence, records, and reports.
  • Track and input payroll data into software for employees of Administration (direct reports to CEO).
  • Provide administrative support to the Chief Executive Officer
  • Other duties as assigned by Management.
  • Perform a broad range of complex responsibilities involving highly confidential or technical information, furnishing information, coordinating and scheduling meetings and preparing agendas, responding to routine correspondence, researching background material, correspondence and telephone calls, may exercise considerable judgment and discretion in completing assignments
  • Perform a variety of supervisory duties, such as assigning work to other staff members and act as liaison between all staff and Chief Executive Officer
  • Coordinate and schedule all meetings of the Board and Partners
  • Serve as representative of Administration on various Clinic/Campus committees
Experience: 5 years experience as a Administrative Assistant required. Prior healthcare experience preferred. Proficient on computer and relevant computer programs such as Microsoft Office
Education: Associates degree required.
Special Qualifications: Must be able to work independently.
